Guide for workspace admins
Last verified: 2026-07-18
Admins keep the workspace running day to day. The owner retains control of billing, admin appointments, and ownership.
As an admin, you can manage ordinary members, workspace settings, Slack integration, Team projects, and comments. You can also view private Team projects when operational work requires it. You do not need the owner for these routine tasks.
For workspace-wide link sharing controls on the Team plan, see the link sharing guide.
Manage an ordinary member's departure from Settings
Open Settings, find the person in the member list, and choose Remove from their actions menu. During removal, choose who should receive that person's files, or leave the files with the removed member for now. The person loses access to the workspace; their existing files and comments remain in the workspace.
Owners and admins cannot be removed while they hold those roles. If an admin needs to leave, ask the owner to remove their admin role first. The owner must transfer ownership before they can be changed to an ordinary member and removed.
File transfers and restoration remain available after removal
The Removed members section in Settings shows people who no longer have workspace access. If they still own files, choose Transfer files, select an active recipient, and confirm. This lets you choose the recipient after removal or redirect files that still belong to the removed member.
Choose Restore when the person should rejoin the workspace. Restoration returns their membership to this workspace. Content in a separate workspace they used while away is not brought into this workspace.
Workspace operations extend beyond the member list
You can change the workspace name at the top of Settings. Enter the new name and save it.
Under Settings and Integrations, you can connect Artifact Share to Slack, add another Slack workspace, or disconnect an existing connection.
For Team projects, admins can manage projects and view private projects even when they are not project members. On a file, admins can organize comments by resolving or reopening threads and removing comments or threads when necessary.
Ask the owner for owner-only changes
Admins cannot manage checkout, billing, plan changes, or the customer portal. They also cannot appoint or remove admins, or transfer ownership. Ask the current owner whenever one of these changes is needed.
The workspace owner guide explains those owner-only procedures and what changes after an ownership transfer.
